Overview & Prerequisites
 

 

The principle of Multi-policy Batch File Exchange is the same as for standard BRF (a single policy) – it is used to deal with large volumes of data. It applies to a group of policies under the control of a single underwriter/managing broker and thus avoids tedious loading and downloading policy by policy.

Using this functionality, you can upload all the data for the different policies in the group in a single file and download all the data for the policies in the group in a single file. 

You can build personalised files and pick up response files from EOLIS in 4 steps: 

Step 1: Define your policy group with your advisor and Euler Hermes France
Step 2: Choose and customise the services that you wish to use.
Step 3: Deposit/Request your files relating to the services selected in step 2
Step 4: Monitor the progress of your requests and pick up your response files after processing.

This changes nothing in the “Batch file Exchange” function for subscribed policies. 

 

Step 1 : Define your policy group with your advisor and Euler Hermes France
 

 
You must define which policy (called the lead policy) will be able to upload and download data and for which policy group. Once this information is determined it is updated by us in our Commercial database, which starts the service under EOLIS.

   
Step 2 : Choose and customise the services that you wish to use
 

 

To define the files that you wish to load or download in batch mode, connect to EOLIS with the login of the lead policy.

As for standard batch File Exchange, select the desired services for your policy group.  Go to premium Services / File Exchanges / choice of services, and depending on your policy terms you can: 

Deposit the following files:

Credit limit requests
Limit deletions
Directory updates

Download the following files:

List of latest decisions
New response notifications
Directory list
First euro customer list

You must select ‘new response notifications’ in order for the service to work properly.

At the bottom of the “choice of services" page, select the policies for which you wish to upload exchange files by clicking on the arrows, and then click “Validate”.

The list is dynamic and automatically deals with terminated policy(ies) (in which case, they no longer appear) and new entries into the group (the new policies then appear in the list on the left, all you have to do then is transfer them into the list on the right). 

Please then, when adding a new policy, go back to this page in order to put the new policy in your list of policies (see step 2) .

The procedure for loading files is the same as for standard Batch File Exchange.

Requests may be entered (with rows) for a lead policy and for the selected policies in the group (click here for a demonstration of this step) 


The response file for a lead policy (excluding EOLIS rejects) contains full responses for all requests carried out on the policy group: “new response notifications”












Example: if we take a lead policy n° 1000001, with other policies in the group n° 1000002, 1000003... the file in question will look as follows:

Responses on EOLIS rejects will be made only on the lead policy. 
In the same way, the EOLIS reject file displays and covers all rejects for a Multi-policy BFE load.

The input macros for requesting and picking up responses are unchanged.
The file formats for requests and the response files returned to insureds are unchanged.

Latest decisions flow







A request for the list of latest decisions (excluding periodic subscription) made from a lead policy will give a consolidated response (as one file) comprising a list for the lead policy and a list of each of the selected policies in the group.

In this situation, the policies in the group will not individually receive a response to the request made for them by the lead policy, which is the one that receives the overall file.
 








An explicit request for the list of latest decisions (excluding periodic subscription) made from a policy in the group will give rise to a response for this policy. In this case, the lead policy will not receive the response made by the policy in its group.
